Terms of Service

1. Amikon Admission

1.1*Please note that we reserve the right to ask you to leave the convention and refuse to refund your money if you are acting in an inappropriate fashion

1.2*Please note that a ticket does not guarantee re entry if we hit maximum capacity for the convention hall and cordoned outdoor area then you may be turned away until there is more space available.

1.3As an attendee there you are not allowed to sell items at the convention, especially counterfeit / knock-off / unlicensed materials. Failure to comply with this will result in removal from the convention. If you wish to sell at the convention then please see our Seller FAQ or contact us directly.

1.4Please be aware that handcarts, trolleys, oversized strollers, rolling luggage, and wheeled backpacks are not allowed in the convention hall as they are a health and safety hazard.

1.5There are no childcare facilities available at AmiKon so please keep an eye on your children.

1.6Event management accepts no responsibility for possessions lost or stolen on the premises.

1.7Participants in the event must adhere to the Cosplay Rules and Regulations outlined below.

2. Amikon Cosplay

2.1No offensive/overly revealing clothing or costumes are permitted. Any cosplays worn must cover at least the same as a modest bikini/swimsuit.

2.2Anyone who violates this rule will be asked to cover up. Failure to do this will result in you being asked to leave the premises.

2.3Cosplays must be suitable for a general audience - There are a lot of kids around the convention after all!

2.4Nudity is not permitted.

2.5Suitable footwear must be worn at all times; bare feet are not permitted. Wheeled footwear (heelies, roller blades, roller skates etc) is not permitted inside the convention centre. They may be carried as a prop of but cannot be worn.

2.6Anyone who has a cosplay that will inhibit movement/vision/or impede the senses are recommended to have a ‘buddy’ to help escort you around the convention.

2.7Cosplayers may not be connected/tethered/tied together in any manner.

2.8Costumes associated with illegal activity; e.g. Pedobear, will not be permitted.

2.9Harassment will not be tolerated in any form.

2.10This includes but is not limited to: Verbal abuse, physical abuse, following, stalking, unconsented photography, unconsented recording, inappropriate physical contact and inappropriate sexual attention.

2.11Cosplay is not Consent.

2.12All props will be inspected on arrival at the convention. Only approved props will be allowed to be carried around. Any props deemed to be too hazardous will be stored in the cloakroom and will only be allowed to be used in photoshoots and the Cosplay Competition.

2.13If anyone is found to be miss-using props in a manner deemed dangerous to other attendees will have their props confiscated with no guarantee of the prop being returned.

2.14If you wish to use airsoft guns/pellets guns as props they must be unloaded and shown to be non-functioning.

3. Amikon Cosplay (Prop and Weapon)

3.1Inspection Requirement: All props will be inspected upon arrival. Only props that pass inspection will be allowed on the convention floor.

3.2Storage of Hazardous Props: Any prop deemed hazardous will be stored in the cloakroom. Such props may only be used during official photoshoots and the Cosplay Competition.

3.3Misuse Policy: If any attendee is found using a prop in a way that is dangerous or disruptive to others, the prop will be confiscated. There is no guarantee that confiscated props will be returned.

3.4Sharp and Bladed Items: Real knives, swords, or any sharp-edged items, including metal replicas, are strictly prohibited.

3.5Firearms and Imitations: Real firearms, functioning airsoft guns, or any working firearms are not allowed.

3.6Airsoft and Pellet Guns:

3.7Non-Functioning Requirement: Any airsoft or pellet gun must be unloaded and incapable of firing.

3.8Inspection for Safety: All airsoft guns will be checked to ensure they are non-functioning, with the magazine removed if possible.

3.9No Ammunition: No live or dummy ammunition is allowed on the premises.

3.10Blunt Objects: Props like bats, staffs, or other blunt items should be made from lightweight materials such as foam or plastic.

3.11Size and Mobility: Large props should be manageable and must not obstruct hallways or entrances. Props that are overly bulky may need to be left in designated storage areas.

3.12Intentional Striking: Props may not be swung, thrown, or used in any way that could injure others or cause damage to the venue.

3.13Special Use Approval: Props stored in the cloakroom may be used for official photoshoots or during the Cosplay Competition. Please coordinate with event staff to retrieve your prop for these events.

4. Amikon Vendor (Trade and Artist)

4.1Applications will be reviewed by the Trade Hall Coordinators and the Amikon team, assessed on factors such as unique creative concepts, inventory, marketability, and more. The lineup will be curated to cater to diverse fandoms and niches.

4.2Both artists and vendors are required to submit a portfolio or collection of products for review.

4.3All communication will be via email; please provide an active email address. If there is no reply within two weeks of acceptance, it will be assumed that you have decided to withdraw.

4.4Minimum age requirement: 17 to participate as a vendor or artist.

4.5Tables will be assigned shortly after acceptance. Please let us know if you’d like to be seated near another accepted participant.

4.6There will be a €25/30 charge per table for the weekend or €15/20 for a single day. Payment must be made before a table number is guaranteed.

4.7Two trader bands will be provided per table; a trader discount will be applied to every ticket purchased thereafter.

4.8Limit of one 6’x 2’ or 7.8’ x 1.8’ table per vendor ticket.

4.9There is a limited number of 6’x 2’ tables available. If your preferred table size cannot be accommodated, you may be assigned a 7.8’ x 1.8’ table instead, offered a refund, or given the choice to adjust accordingly.

4.10Each vendor will initially be granted one space at the single-day rate of €15. Additional tables or space may be allocated at the discretion of the Trade Hall Coordinator. If you require additional tables, please communicate your request in advance.

4.11You may bring a table to use instead of the one provided; however, you may not bring additional tables to extend your allocated space.

4.12The table setup is on Friday, May 16th, between the hours of 4:00 PM and 7:00 PM.

4.13If you are unable to attend on Friday or need more time, you may set up on Saturday, May 17th, at 9:00 AM or Sunday, May 18th, at 9:00 AM.

4.14The trade hall and artist alley will open from 11:00 AM to 6:00 PM on Saturday and 10:30 AM to 5:00 PM on Sunday. Selling must cease after official closing hours.

4.15If you need extra time to set up or a volunteer to help, we can accommodate you as long as we are given notice.

4.16A WhatsApp group will be created for easier communication, but joining is optional.

4.17We reserve the right to refuse the admission of any products that are deemed unsafe or unsuitable for sale, including products involving AI or stolen art.

4.18Amikon will not be responsible for any product that is lost or damaged on the day.

4.19All 18+ NSFW stock must be kept away from public view; however, it can be sold upon request by customers.

4.20Any competition held by vendors must be approved by the Trade Coordinator.

4.21If a vendor is found conducting an unauthorised competition, they may be asked to leave.

5. Amikon Panelist

5.1By presenting a panel, the panelist is expected to understand and, therefore, follow this policy and all other rules, guidelines and policies set forth throughout their panel and the rest of the event.

5.2Panelists are expected to act professional at all times. This includes, but is not limited to: Showing adequate punctuality to panel times; Behaving respectfully towards all attendees, panelists and other people at the event; Abide by this and all other rules, guidelines and policies set out by the event.

5.3Panelists are responsible for ensuring the content presented in their panel(s) is suitable to the intended audience and following the event policies, complying with local laws and regulations: To guarantee adult (+18) panels are sent to be reviewed by the event team;* To understand any content understood as illegal (non-consensual intercourse, child pornography, explicit/extreme gore, etc.) is strictly not allowed.*

5.4Any behaviour or action deemed to break this or any other rules, guidelines and policies proposed may result in removal from the event.

6. Amikon Volunteer

6.1Punctuality: Volunteers must arrive on time, if any complications come up, please let the Coordinator know ASAP.

6.2Dress code: Amikon has a casual dress code. You must ensure the volunteer T-shirt is visible at all times. You can cosplay if you wish too, however the T-shirt must be visible while you are volunteering.

6.3No disappearing acts: If you need to leave your station at any point, make sure you inform the volunteer coordinators. The fastest way to do so is through the WhatsApp group chat.

6.4Harassment: Amikon has a zero tolerance policy Under no circumstances will harassment of any kind be tolerated. If anything like this happens, please let a committee member know immediately.

6.5Assist when possible: If you have free time, please tell the volunteer coordinator 😔✊. Sometimes there may be extra tasks we need more hands for.

6.6Familiarise yourself: It is helpful if you familiarise yourself with the event timetable and convention layout, such as rooms and emergency exits, as attendees will ask you where/when things are.

6.7Event Assistance: It is really helpful if you can help setting up areas, such as booths, stage events and seating areas. If you see any litter please put it in the bin.

6.8Panel and guest support: Assist the panellists and guests with any needs or queries they may have. This may include getting them water or any other small miscellaneous task.

6.9Listen to Coordinators: All tasks will be delegated by the volunteer coordinators and should be carried out to the best of your ability.

6.10Breaks: Make sure you take your breaks, we want you to enjoy your time as well. When you take your breaks, drink plenty of water and eat food!
